Systems for Deck & Fence Builders
Plan a calmer building season, from first quote to final stain.
Every spring the snow melts and lots of homeowners decide this is the year for a new deck, so your phone gets busy fast. In that stack of inquiries are the jobs you love, the composite builds and full-yard fence lines, mixed in with quick questions about a gate. We build you a system that sorts requests, follows up on quotes and keeps the season organized.
Common challenges
What slows down Deck & Fence Builders
"How much for a deck?"
Ground level or second storey? Pressure-treated, cedar or composite? Stairs, railings, a privacy wall? Without those details, you book a site visit just to find out what they're picturing.
Site visits without a next step
You drive across town, measure, talk railings for forty minutes and email a quote. Then the busy season takes over and nobody follows up.
Permits, locates and community rules
Raised decks may need a permit, everyone needs utility locates before posts go in, and some communities have architectural guidelines. Clients often learn this only when it shifts their start date.
A schedule that lives in your head
Material drop dates, crew days, inspections and rain delays. One wet week in June can shuffle the whole summer.
The solution
The system we'd build for you
A quote form that does a site visit's homework
Deck or fence, rough dimensions, height off grade, material preference, yard access for equipment, photos of the space and timing. You sort serious jobs before you get in the truck.
A pipeline that matches your season
Inquiry, site visit booked, quoted, deposit paid, permit or HOA approval, materials ordered, build scheduled, complete. Every job's stage at a glance.
Estimate follow-ups
Automatic check-ins after a quote goes out, timed so you're not nagging and not forgotten. Good jobs stop slipping through in May.
Site visit booking
Clients pick from windows you set, with an automatic reminder the day before and a note to keep pets inside and the side gate open.
Project gallery by material
Composite, cedar, pressure-treated, aluminum railings, glass, horizontal and chain-link fence. People find the build they want and request it by type.
Prep page for clients
What a permit is, why utility locates come first, what community approval might involve and what to clear from the yard. Fewer surprise delays.

Wherever you are
Just starting, growing or decades in.
Whether you haven't opened yet or you've been at it for decades, here's how we'd help at each stage.
Starting out
Just an idea, or brand new
After years on someone else's crew, the first season on your own is about getting seen. Start Your Company builds your brand, website and photo gallery of past builds in time for spring inquiries.
Growing
Busy and getting busier
When you add a second crew, the seasonal pipeline and site-visit booking keep everyone working from the same schedule, and quote follow-ups happen even on your busiest weeks.
Established
Years or decades in
When half your work comes from past customers' neighbours, referrals are the business. We keep that at the centre and add tools only where they'd lighten the office load.
An example
What it could look like in real life
An illustration of how it could work. The business and details are made up for the example.
Take a two-crew deck and fence outfit covering Saskatoon and the nearby towns. Inquiries start in March, and by April the owner is doing site visits every evening without an easy way to tell which quotes are still active. We build a site with a material gallery plus a quote form requesting dimensions, height and photos, then send every request into a seasonal pipeline. Site visits book with reminders, quotes get automatic follow-ups, and the owner can see which jobs are waiting on approvals. Finished builds trigger a review request.
Questions we get
FAQ
Can the quote form handle fences and decks differently?
Yes. Choosing fence asks about linear length, height, gates and shared property lines. Choosing deck asks about size, height, stairs and railings. Each path asks only what you need.
I take deposits to lock in a build date. Can that be tracked?
Yes. Deposit paid can be its own stage, and jobs only move into the build schedule once it's in. You can take payment through the invoicing tool you already use.
What happens when rain wipes out a week?
You update the schedule, and affected clients get a text with their new date, which saves a lot of calls from the truck.
Do I need all this if I'm a smaller outfit?
It depends on your volume. If quotes are getting lost by June, it helps a lot. If you do a handful of builds a summer, a Launch site with a good quote form might be enough, and we'll tell you honestly.
