Systems for Real Estate Teams

Help every buyer and seller hear from the right agent, right when they reach out.

Online leads in real estate are often most interested in the first few minutes, and busy teams aren't short on effort. Things slip when a lead lands in a shared inbox and each agent assumes someone else has it. We build teams a system that captures leads, routes them to the right agent quickly, keeps every deal's documents in one secure place and gives the team lead a clear view of every agent's pipeline.

Common challenges

What slows down Real Estate Teams

Challenge 1

The lead nobody claimed

A buyer asked about a Saturday showing. By Monday it's still waiting in the shared inbox, and the buyer has started talking to another agent.

Challenge 2

"Just browsing" for ten months

Many portal leads aren't buying this month. After a couple of tries the calls stop, and by the time they're ready, your team isn't top of mind.

Challenge 3

Everyone has their own system

One agent uses a spreadsheet, another uses notes on her phone, another relies on memory. When an agent moves on, their pipeline can go too.

Challenge 4

Home valuation requests that need a person

Sellers fill out a home value form, receive an automated number and never hear from anyone. A thoughtful follow-up could have started a listing conversation.

The solution

The system we'd build for you

01

Lead capture across your site

Showing requests, buyer consultations, home valuation requests and open house sign-ins, each tagged by source and type.

02

Instant routing

Leads go to the right agent by area, price point, language or rotation, with a text alert. Unclaimed leads escalate to the team lead after a window you set.

03

Shared team pipeline

New, contacted, appointment set, showing, offer, firm, closed, nurture. Every agent works the same board, and the pipeline stays with the team.

04

Document management

One secure place for listing and deal documents: agreements, disclosures, condo documents and FINTRAC identification records, organized per deal, with a checklist that shows what's still missing before a file is complete.

05

Agent management

A dashboard for the team lead: lead assignment and round-robin rules, each agent's pipeline and follow-ups, listings and closings in progress, plus onboarding documents and training in one place for new agents.

06

Long-term nurture

Automatic, consent-based check-ins for buyers and sellers who aren't ready yet: market updates, new listings in their area and a nudge from their agent.

07

Listings and neighbourhood pages

Area pages for the communities you actually farm, plus your listings shown through your IDX or MLS feed provider where it allows.

08

Digital open house sign-in

A tablet or QR sign-in that drops visitors straight into the pipeline with an automatic thank-you text that evening.

Wherever you are

Just starting, growing or decades in.

Whether you haven't opened yet or you've been at it for decades, here's how we'd help at each stage.

Stage 1

Starting out

Just an idea, or brand new

Forming a new team, or stepping out of a larger one to build your own brand? Start Your Company sets up the team identity, domain and social accounts, with your brokerage's required details in place before the first listing goes up.

Stage 2

Growing

Busy and getting busier

As you add buyer agents and an admin, routing rules, a shared pipeline and open house sign-ins keep every lead visible and fairly distributed.

Stage 3

Established

Years or decades in

Teams with a long sphere and years of repeat clients have plenty of relationships to honour. We work around your current CRM and listing feed, keep what your agents rely on, and add what a bigger team needs: per-deal document checklists, an agent dashboard for the team lead, and follow-up that keeps past clients close.

An example

What it could look like in real life

An illustration of how it could work. The business and details are made up for the example.

Say you run a six-agent team in Kitchener-Waterloo, focused on a handful of family neighbourhoods. Leads come from your site, portals and open houses, and they land in a shared inbox where they sometimes wait. We build a site with community pages and a valuation request, routing by community with escalation if nobody responds, and a shared pipeline. Buyers who aren't ready join a gentle nurture track. Open house visitors sign in on a tablet and get a thank-you text from the listing agent that night.

Questions we get

FAQ

Will it work with our IDX provider and current CRM?

We work alongside the IDX feed, CRM and transaction tools you already use and connect where they allow it. If your CRM already handles routing well, we focus on the site, lead capture and follow-up gaps.

Can the site meet brokerage and advertising rules?

We build in your brokerage name and the disclosures your brokerage requires on every page and form. Your broker or compliance person should sign off on the final copy, since rules are set by your regulator and brokerage, not us.

Are automated texts allowed?

With proper consent and an easy opt-out, yes. Our forms capture consent, and messages identify your team, in line with CASL. We don't send to scraped or purchased lists.

What happens when an agent leaves the team?

Their leads and history stay in the team pipeline. You reassign them in a few clicks instead of starting over.
