Systems for Financial Advisors

Less inbox, more time with clients, even in RRSP season.

Financial advice is personal, and the admin around it is constant: new-client paperwork, KYC updates, review meetings, beneficiary forms, tax slips and the steady question of "did you get my documents?" We build advisory practices a secure client portal and booking system for that front-office work. The advice, the trades and your dealer's systems stay exactly where they are.

Common challenges

What slows down Financial Advisors

Challenge 1

Sensitive documents by email

Void cheques, notices of assessment, pension statements. Clients email them in with the best intentions, sometimes to the wrong person, and everyone would prefer a safer way.

Challenge 2

Onboarding that takes longer than it should

A new household needs forms, ID and transfer details from both spouses. Each missing piece means another reminder email, and account opening waits.

Challenge 3

Annual reviews that are hard to book

You aim to see every client at least yearly and update KYC. Booking those meetings by phone and email takes a big share of your assistant's month.

Challenge 4

The RRSP deadline rush

Contributions, slips, last-minute questions. Late February fills up with inbox flags and sticky notes.

Challenge 5

Prospects with no clear next step

Someone hears your name from their accountant, visits your site and finds a bio and a phone number. They mean to call, then the week gets away from them. An easy booking link helps.

The solution

The system we'd build for you

01

Secure client logins

Each household gets a private space to upload and download documents, with access controls you set.

02

Onboarding checklists

A clear list of what each new client still needs to provide, ticking off as items arrive, with automatic reminders for what's missing.

03

Review meeting booking

Clients book annual or semi-annual reviews online, with a pre-meeting questionnaire about life changes, so meetings start with the right questions.

04

Document requests and status

Request a specific form or slip, see when it lands, and show clients where their paperwork stands.

05

Prospect intake

A discovery-call booking page with a short questionnaire, so first meetings start informed.

06

Seasonal campaigns

Opt-in reminders about contribution deadlines and review season, written for your compliance team to approve and sent under CASL.

07

A website your compliance team can approve

Clear service descriptions, your team and process, without performance claims, built to fit your dealer's review process.

Recommended package

Custom Portal

Advisory practices handle onboarding paperwork, annual reviews and sensitive documents for every household. A Custom Portal gives clients a secure place to send documents, prep for meetings and see where their paperwork stands, without touching advice or trading.

Wherever you are

Just starting, growing or decades in.

Whether you haven't opened yet or you've been at it for decades, here's how we'd help at each stage.

Stage 1

Starting out

Just an idea, or brand new

Going independent or opening a new practice? Start Your Company can handle your name, logo, domain, business email and a site ready for compliance review, while licensing and dealer onboarding stay in your hands.

Stage 2

Growing

Busy and getting busier

Adding an associate advisor or a second assistant is when shared onboarding checklists and online review booking keep every household on track without extra chasing.

Stage 3

Established

Years or decades in

A long-standing practice with clients who've trusted you for decades deserves a gentle change. We introduce the portal to new households first and offer it to existing clients when they're ready, with phone and paper still welcome.

An example

What it could look like in real life

An illustration of how it could work. The business and details are made up for the example.

Take a two-advisor practice in Kitchener-Waterloo serving families and small business owners. Onboarding happens through emailed PDFs, and annual reviews get booked whenever the assistant finds time. We build a portal where each household uploads documents securely and sees an onboarding checklist, a booking page for reviews with a short life-changes questionnaire, and reminders for missing items. In January, an approved message goes out about review season. Account data and trading stay in the dealer's systems.

Questions we get

FAQ

Will this replace our dealer's client portal?

No. Your dealer's portal shows holdings and statements. Ours handles the front office: onboarding, document exchange, meeting booking and status. We link to the dealer portal so clients aren't confused.

Does our compliance department need to approve this?

Almost certainly, for the website and any client messaging. We build with that in mind and make changes based on their feedback before launch.

Where are client documents stored?

In secure, access-controlled storage, configured with you. We'll walk through retention, access and privacy expectations so the setup fits your obligations under PIPEDA or your province's private-sector privacy law, and you keep control of the data.

Can it connect to our CRM?

We can connect to many CRMs where they allow it, so new clients and documents show up where your team already works.
