Systems for Martial Arts Schools
Welcome families in at the first trial and keep them training for years.
Parents often fill out your contact form, bring their kid to a free trial and watch from the bench with a big smile, then life gets busy while they decide. A coach teaching four classes a night can't call everyone back. We build martial arts schools a system that books trials, follows up warmly and helps current students keep showing up between gradings.
Common challenges
What slows down Martial Arts Schools
The trial that needs a follow-up
They came, they sweated, they said "we'll talk it over at home." Then the week filled up. Teaching four classes a night leaves little time to call every family back.
"What class should my seven-year-old take?"
Little dragons, juniors, teens, adults, competition team, no-gi, kickboxing. Your timetable makes sense to you, but a new parent may need a little help reading it.
Waivers on clipboards
Paper forms at the front desk, some missing an emergency contact. Someone types them in eventually, usually after closing.
Students drifting quietly
Attendance slips from three classes a week to one, then none, and it's easy to miss until the membership is cancelled.
The solution
The system we'd build for you
Free trial booking
Families pick a class by age and level, choose a time, and sign the waiver online before they arrive. The coach sees who's coming that night.
Trial follow-up sequence
A thank-you text after the class, a check-in with your intro offer a couple of days later, and a final friendly nudge. Warm, short and in your voice.
A timetable people understand
Classes grouped by age and goal, with what to wear and what a first class looks like. No more decoding acronyms.
Lead and member pipeline
Inquiry, trial booked, trial attended, offer sent, joined. You see exactly where families stall and which classes bring in the most trials.
Attendance nudges
When a student hasn't checked in for a while, a friendly "we miss you" message goes out, so instructors can reach out personally.
Grading and event reminders
Testing dates, eligibility notes, fees and tournament sign-ups sent automatically to the right families.
Review requests at the right moment
After a student earns a stripe or a new belt, parents get a request to leave a Google review while they're still proud.

Business System
A dojo runs on trial classes, memberships and parents who appreciate reminders. Business System covers trial booking, a lead pipeline, follow-ups and attendance nudges, the parts that take the most time by hand.

An example
What it could look like in real life
An illustration of how it could work. The business and details are made up for the example.
Say you run a Brazilian jiu-jitsu and kids' karate academy in a plaza in Mississauga. Trials come in through a contact form, the head instructor texts families from his phone, and follow-up depends on how full the week is. We build a site with a timetable sorted by age, online trial booking with a digital waiver, and an automatic follow-up sequence after every trial. A pipeline shows which trials joined. Students who go quiet for a few weeks trigger a friendly check-in.
Questions we get
FAQ
We already use membership and billing software. Does this replace it?
Keep it. Your billing stays where it is, and we can work alongside tools like Zen Planner or Spark and connect where they allow it. We focus on what happens before and around billing: trial booking, follow-ups, reviews and the website.
Can waivers be signed online for minors?
Yes. The trial booking flow collects a parent or guardian signature and emergency contact before the first class. Have your own waiver wording checked by your insurer or lawyer.
Can follow-ups go to parents, not kids?
Always. For junior programs, messages go to the parent or guardian who booked, and commercial messages include consent and an easy opt-out to stay on the right side of CASL.
Will it help us fill the adult classes, not just kids?
We can run separate trial flows and messaging for adults, since the pitch is different: fitness, stress relief, self-defence. Same system, different words.
