Systems for Yoga & Pilates Studios

Helping new students find their mat, and come back to it.

Your timetable changes every season, a teacher calls in sick at 5 a.m., and the reformer classes fill in minutes while Tuesday's yin sits half empty. We build yoga and Pilates studios a site and booking setup that keeps the schedule current, turns intro-offer students into members and nudges people back when they drift.

Common challenges

What slows down Yoga & Pilates Studios

Challenge 1

Intro offer, then a quiet goodbye

Someone buys the new-student pass, takes two classes and drifts away. Nobody checks in or asks how it went, and the pass expires quietly.

Challenge 2

A schedule that lives in three places

The booking app says one thing, the website shows last season's timetable as a JPEG, and Instagram announces the sub. Students show up to a class that moved.

Challenge 3

Reformer waitlists managed by hand

Eight machines, twelve people who want them. Late cancellations open spots that nobody hears about in time, so a machine sits empty while someone on the waitlist would have come.

Challenge 4

"I've never done yoga. Which class do I take?"

Hatha, vinyasa, yin, hot, mat Pilates, reformer, prenatal. Beginners freeze at the menu and book nothing.

Challenge 5

Waivers and intake on paper

A clipboard at the front desk, a pen that never works and a stack of forms in a drawer. It works, but it's a busy start to someone's first class.

The solution

The system we'd build for you

01

Live schedule on your site

Your current timetable pulled from or linked to your booking platform where it allows (we can work alongside tools like Mindbody or Momence), so there's one source of truth.

02

Which-class-is-for-me guide

Short class descriptions by intensity, heat and experience level, plus a 'start here' path for nervous first-timers.

03

Intro offer follow-up

An automated email and text sequence for new-student passes: welcome, what to bring, a check-in after the first class and a nudge before the pass expires.

04

Lapsed-member win-backs

A friendly message to members who haven't booked in a few weeks, with the schedule and maybe a workshop they'd like. You approve the wording.

05

Online waivers and intake

Digital waiver and intake questions (injuries, pregnancy, experience) completed before the first visit, through your booking tool or a form we set up.

06

Teacher and workshop pages

Instructor bios, specialties, teacher training and workshop pages with their own registration links.

07

Review requests and a simple dashboard

Review requests after a student's first few classes, plus a view of intro passes sold, converted and expired.

Recommended package

Business System

A studio with a timetable, instructors, class packs and intro offers needs booking, reminders and follow-up for new students. That's Business System. A portal would be more than you need, and a brochure site wouldn't handle the follow-up.

Wherever you are

Just starting, growing or decades in.

Whether you haven't opened yet or you've been at it for decades, here's how we'd help at each stage.

Stage 1

Starting out

Just an idea, or brand new

Teaching from a rented room and dreaming of your own space? Our Start Your Company launch takes care of the studio's name, look, web address, site, local listing and social accounts, with class booking connected before your first flow.

Stage 2

Growing

Busy and getting busier

Adding reformers, a second room or a teacher training program? We give trainings their own pages and follow-ups, and build waitlist and intro-offer messages that scale with the timetable.

Stage 3

Established

Years or decades in

A studio that's held its community for many years has teachers and rituals people love. We keep that intact and gently refresh the site and messages, at a pace that feels right for your members.

An example

What it could look like in real life

An illustration of how it could work. The business and details are made up for the example.

Picture a boutique Pilates and yoga studio in Victoria with a reformer room and a hot room. Visitors buy intro passes in summer and drift off, and the website timetable is three seasons old. We connect the site to the studio's booking platform for a live schedule, write a beginner's guide to the class types, add online waivers and switch on an intro-offer sequence that checks in after the first class. The owner gets a simple weekly view of new students and who's about to lapse.

Questions we get

FAQ

Will this replace our booking platform?

No. Your booking platform stays. We build the site around it and connect where it allows, then add the follow-ups and pages it doesn't handle well.

Can we sell class packs and memberships on the site?

Yes, through your booking platform's checkout, linked or embedded on the site so students don't get bounced around.

We run teacher trainings. Can those have their own pages?

Absolutely. Teacher training gets its own page with curriculum, dates, an application or info-session form and its own follow-up emails.

Can you write the emails in our studio's voice?

Yes. We draft them, you edit, nothing goes out without your sign-off. Calm and welcoming, or a bit cheeky, your call.
