Systems for Renovation Contractors
From first sketch to final walkthrough, every reno client feels looked after.
Some inquiries are homeowners gathering numbers for a kitchen they'll start in a couple of years. Others are ready-to-go projects that can drift away while you're busy on a jobsite and the estimate goes out late. We build renovation contractors a lead system that helps you see who's ready now, books site visits and follows up on every estimate for you.
Common challenges
What slows down Renovation Contractors
"Ballpark for a basement?"
No square footage, no idea if they want a bathroom, a wet bar or a legal secondary suite. It's hard to give a number without knowing, and every site visit takes an evening.
Estimates that go quiet
You spend an evening pricing a bathroom gut, email the quote and don't hear back. Usually it's not a no. Life just got busy, and nobody had a moment to check in.
Site visit scheduling ping-pong
"Does Tuesday work? How about after 5? My husband needs to be there." Ten texts to book one walkthrough.
Clients asking 'what's happening this week?'
Once demo starts, homeowners naturally want updates on the tile delivery, the inspection and when the drywaller shows. Answering each text one by one takes up a lot of your afternoon.
A portfolio that's mostly before photos
It's easy to forget to shoot the finished kitchen until the family's moved back in and the counters are full again.
The solution
The system we'd build for you
Project-based quote intake
Separate forms for basements, kitchens, bathrooms and additions that ask about size, scope, timeline and budget range, with photo upload, so you know who's serious before you drive out.
Site visit booking
Homeowners pick a walkthrough time from your real availability, and it lands on your calendar with their project notes.
Lead pipeline
Every inquiry moves through new, site visit, estimate sent, signed or lost, so you see at a glance what's in play and what's stalled.
Estimate follow-up sequences
Friendly check-ins a few days and a couple of weeks after you send a quote, asking if they have questions, so quiet leads hear from you without you remembering to.
Job update texts
Simple milestone messages (demo done, rough-in inspection booked, cabinets arriving) so clients feel looped in without calling you.
Handover review requests
When the job wraps, a request for a Google review plus a nudge to send you finished photos if they took any.
Owner dashboard
Open estimates, signed work, lead sources and incoming project types, on one screen.
Recommended package
Business System
Renos are long, high-ticket projects with plenty of conversation before anyone signs. A quote pipeline, estimate follow-ups and client updates matter more than a big gallery, so the Business System fits well.
Popular add-ons for Renovation Contractors
Wherever you are
Just starting, growing or decades in.
Whether you haven't opened yet or you've been at it for decades, here's how we'd help at each stage.
Starting out
Just an idea, or brand new
Leaving a bigger outfit to run your own jobs? Start Your Company gets your name, logo and website ready alongside your first estimates, so homeowners meet a business that looks as solid as your carpentry.
Growing
Busy and getting busier
Once you're running two or three projects at once, estimate follow-ups and milestone texts take a lot off your plate, and the pipeline shows which kinds of jobs to say yes to.
Established
Years or decades in
A renovator with a long trail of referrals and repeat clients has earned real trust. We build around that: a portfolio of the work you're proudest of, a simple way for past clients to send friends your way, and new tools added only where they help.
An example
What it could look like in real life
An illustration of how it could work. The business and details are made up for the example.
Picture a renovation company in Halifax doing mostly basement developments and bathroom remodels across the city and Dartmouth. Leads come in through social media, a home-design site and word of mouth, and estimates live in an email folder. We build a site with a quote form for each project type, online site-visit booking and a pipeline that tracks every lead. Two days after an estimate goes out, the client gets a friendly check-in, and during the build, milestone texts. At handover, they're asked for a review.
Questions we get
FAQ
I already use construction management software. Do I need this?
Your project software runs active jobs. Our system handles everything before the contract: intake, site visits, estimates and follow-ups. We can work alongside tools like Buildertrend and link the two where that's possible.
Should I show price ranges for basements and bathrooms?
Rough 'projects typically start at' ranges in CAD set expectations kindly. You'll still estimate properly after the walkthrough.
What about permits?
We can add a page explaining how you handle permits and inspections, which builds trust. The permit work stays with you.
How do I spend less time on people who are years away?
Ask for budget range and start date on the form. People planning ahead self-identify, and you can keep in touch with them by email until they're ready.
