Systems for Dental Clinics
A friendlier front door for your dental practice, and a lighter load for the front desk.
Your front desk is answering the phone, checking in a patient, running an insurance estimate and rescheduling a crown seat, sometimes in the same minute. Across town, a person with a cracked molar is searching for an emergency dentist at 7 p.m. and needs to know what to do next. We build dental clinics the front door: booking requests, intake links, reminders and reviews, connected to your practice software where it allows it.
Common challenges
What slows down Dental Clinics
Phones ringing through lunch
New patients, insurance questions, reschedules. Your team does its best, but some calls reach voicemail, and many people would rather try another number than leave a message.
Overdue recall lists
Patients past their cleaning sit in a report nobody has time to work, and gaps open up in the hygiene schedule.
"Do you take CDCP?"
Patients want to know about direct billing, the Canadian Dental Care Plan and payment options before they book. When the site answers that, the phone gets a break.
Toothaches don't wait for Monday
Someone in pain after hours needs clear steps and a way to reach you. A simple emergency page gives them that.
The solution
The system we'd build for you
Appointment requests from the site
New patient exams, cleanings, consults and emergencies, each with the questions your team needs. Requests go to your front desk or into your booking tool where it allows online scheduling.
New patient intake link
Sent ahead of the first visit so forms are done at home. We build with privacy in mind and connect to your practice software where it allows; clinical records stay there, under your control.
Emergency page and routing
What counts as an emergency, what to do right now and how to reach you, with urgent requests flagged for the front desk first thing.
Appointment reminders and confirmations
Text and email reminders before visits with an easy confirm or reschedule, to cut no-shows in a full column.
Recall nudges
Friendly messages to patients due or overdue for hygiene, linking straight back to booking. We work alongside your existing recall system so nobody gets double-messaged.
Review requests after visits
A short text after an appointment asking for a Google review, so your profile reflects the care patients actually get.

Business System
A dental clinic has multiple chairs, hygiene recall, new patient intake and phones that never stop. Business System builds the front door and the follow-up while your clinical records stay in your practice software.
Popular add-ons for Dental Clinics
Wherever you are
Just starting, growing or decades in.
Whether you haven't opened yet or you've been at it for decades, here's how we'd help at each stage.
Starting out
Just an idea, or brand new
Opening a new practice, or taking over a retiring dentist's chairs and patient list? Through Start Your Company we can set up the clinic's brand, website and Google listing, and help you introduce a new name to existing patients warmly.
Growing
Busy and getting busier
When you add associates, hygienists or a second location, booking paths, reminders and recall nudges keep each schedule full without adding front desk hours.
Established
Years or decades in
Practices that have cared for the same families for generations carry a lot of trust. We keep your practice software and routines, refresh the patient-facing side gently, and introduce online tools only as your team is ready.
An example
What it could look like in real life
An illustration of how it could work. The business and details are made up for the example.
Take a three-dentist family practice in a growing Regina neighbourhood, with two hygienists and a front desk of two. Phones back up every morning, the recall list grows, and first-time patients are still completing paperwork on arrival. We build a site with clear pages for family, cosmetic and emergency dentistry, appointment requests that capture what the team needs, and an intake link sent before first visits. Reminders and recall nudges go out by text, and emergency requests are flagged first. Clinical charts stay in the practice software.
Questions we get
FAQ
Can this connect to the software our clinic already runs on?
We can work alongside tools like Dentrix or ABELDent and connect where they allow it, for things like online booking or reminders. If a direct connection isn't possible, requests come to your front desk to enter. We'll confirm what's realistic before building.
Do you store patient health information?
We avoid it. Charts, x-rays and treatment notes stay in your practice software. Intake and booking are built with privacy in mind, and you keep control of patient data. Your privacy officer should review anything that collects health details.
Can patients book themselves directly?
If your software supports live online booking, we put it front and centre. If you prefer requests your team confirms, we build that. Many clinics allow online booking for cleanings and exams only.
Can you handle multiple locations?
Yes. Each location gets its own page, Google profile, hours and booking path, so patients book into the office closest to them.
