Systems for Massage Therapists

Your hands stay on the work. Your site handles the questions.

Your hands are busy for sixty or ninety minutes at a time, so texts, calls and "do you direct bill?" wait until you're between clients. People looking for an RMT want three answers quickly: what kind of massage you do, whether their benefits help cover it, and when you're free. We build a site that answers all three and puts your booking one tap away.

Common challenges

What slows down Massage Therapists

Challenge 1

"Do you direct bill to my insurance?"

It's the question clients ask most, and it's hard to answer from the table. By the time you return the voicemail, they may have booked somewhere that answered online.

Challenge 2

"What's the difference between deep tissue and therapeutic?"

New clients don't know your modalities. If your site just lists the words, they guess, book the wrong length, or don't book at all.

Challenge 3

Receipts that meet the plan's rules

Clients need your registration number and the right service description on receipts, sometimes resent months later at claim time. It's admin nobody trained you for.

Challenge 4

Late cancels and no-shows

An empty sixty-minute slot rarely refills the same afternoon. When your policy is easy to find before booking, it feels fair rather than personal.

Challenge 5

Online booking that's hard to find

You already have good online booking. It just isn't linked from Google or your site, where new clients look first.

The solution

The system we'd build for you

01

A page for each modality

Relaxation, deep tissue, prenatal, sports, cupping, myofascial release. What it is, who it's for, what a session feels like and which length to book.

02

Benefits and direct billing page

Which insurers you direct bill where your scheduling tool supports it, what clients should check with their plan first, and how receipts work. Written once, shared any time.

03

Booking from every page

We work alongside tools like Jane or ClinicSense, linking or embedding your scheduler so clients pick the therapist, length and time themselves.

04

New-client prep page

What to wear, arriving early for the health history form, parking and which door to use. Fewer nervous first-timers, fewer late starts.

05

Clear cancellation policy

Your notice window and fee in calm, plain language, linked from booking confirmations so it's agreed before anyone's on the table.

06

Google Business Profile tuned up

Correct hours, photos of the treatment room, a booking button and the services you actually offer, matched to the site.

Recommended package

Launch

A massage practice needs more than a one-pager: a page per modality, insurance and receipt info, a clear intake path and booking everywhere. Launch covers that without adding CRM software a small clinic won't use.

Wherever you are

Just starting, growing or decades in.

Whether you haven't opened yet or you've been at it for decades, here's how we'd help at each stage.

Stage 1

Starting out

Just an idea, or brand new

Newly registered and renting your first room? Start Your Company covers the launch details, including your practice name, business email and a Google listing, so new clients can find and book you from your first week.

Stage 2

Growing

Busy and getting busier

When you add a second room or bring on therapists, each person gets a bio and booking link, and the modality pages help new clients choose the right session.

Stage 3

Established

Years or decades in

If your clinic has served the same families for years, we keep the scheduler and routines your regulars know, and refresh the site and Google profile around them.

An example

What it could look like in real life

An illustration of how it could work. The business and details are made up for the example.

Picture a two-room massage clinic in Kelowna with three therapists sharing the schedule. The owner answers benefits questions all day, and new clients sometimes book ninety minutes when they meant sixty. Together we'd build five pages: a page per modality with session-length guidance, a direct billing page, a first-visit page and therapist bios with their own booking links. The scheduler they already use sits on every page and on Google. Phone calls start to shift from coverage questions to the occasional real one.

Questions we get

FAQ

My clinical notes are in my charting software. Does any of that touch the website?

No. Charting and health history stay in your scheduling and charting system, where you control them. The site is the front door: information and a link into booking. We don't store treatment notes.

Can each therapist have their own page and booking link?

Yes. Clients often book a person, not a clinic. Each therapist gets a bio, their modalities and a direct link into their availability in your existing scheduler.

I'm mobile and do in-home massage. Does this still work?

Absolutely. We swap the parking page for a service-area page, table setup notes and travel fees, and make the booking flow ask for an address where your tool allows it.

How long before my site is live and bookable?

Usually a matter of weeks, not months, and most of that is waiting on your photos and bios. Your booking tool doesn't change, so there's no downtime for existing clients.
